I have been working for a big company since last year.
Last week I was commissioned to take over a weekly telephone meeting.
This meeting takes place to get several things (overtime, travel requests and purchasing requests) approved from the senior management. My task will be to sell these things to get an approval from the senior management.
Now I want to prepare myself by writing a simulated meeting.
The meeting often begins with the overtime section:

Lets start with overtime.
We are going to have 1.200 hours in total for next week. (going to/ will or having??)
We are going to run (we are running??) 3 machines with 500 overtime hours due to the breaksdowns of last week and an increased volume in product X and Y at the weekend. The 500 production overtime hours are divided into 100 hours for machine X, 300 for machine Y, and 100 hours for machine Z.
Furthermore 60 maintenance hours as production monitoring are requested to accompany the production.
Moreover we are requesting 400 hours for our product checking area due to an high absenteesim rate.
Section 2: Purchasing Notes
This week we have 1 purchasing notes.
Its about a repair of machine x. The cost amounts to 10.000 €.
The repair work is going to consist of a new machine body for 6.000 € and external labour cost of 4.000€.
That repair is neccessary because the current machine body has flaws. If these flaws broaden the machine will be unrepairable.
